Fleet Manager (Andover, MA)

Reporting to the President, the fleet manager is responsible for implementation and execution of all fleet needs, including vehicle maintenance and repairs, fuel cards and expenses, vehicle assignment and tracking, titles and registrations, and GPS management. Serve as the main point of contact for all day-to-day fleet-related needs.

Job Duties:

  • Manage vehicle fleet in accordance with industry standards, company policies, and regulatory standards. Ensure external fleet appearance is maintained to company standards. Communicate and escalate any issues that arise.
  • Manage demand maintenance process; ensure all maintenance work is completed timely and properly. Ensure preventative maintenance plans are followed. Ensure vehicles are adequately maintained. Track maintenance costs.
  • Assist with management of vendor relationships. Ensure the integrity of repairs/maintenance work performed on fleet vehicles. Review vendor invoices for accuracy. Communicate and escalate any issues that arise.
  • Maintain, monitor, and manage vehicle titles. Ensure title information is kept current in the fleet management database.
  • Assist with receiving and distribution of new vehicle documentation. Monitor and resolve any quality or delivery issues.
  • Maintain insurance records for additions and disposals.
  • Maintain documentation in the Fleet system relating to Registrations and drivers licenses.
  • Assist with the assignment of GPS units for vehicles, including pool/spare vehicles. Perform periodic vehicle inventory and ensure fleet inventory database is kept current. Assist with proper disposal and tracking of obsolete vehicles.
     

Experience:

  • 5+ years of increasingly responsible experience with a wide range of vehicles in a private vehicle fleet in an administrative capacity.
  • 5+ years of experience in vehicular maintenance and repair and/or fleet operations or a combination of training, education, and experience, that is equivalent to the employment standard listed above.
  • Solid knowledge of State and Federal (DOT) regulations and policies.
  • Familiar with RMV accident Reporting Policies.
  • Experience with the following documentation including IFTA (International Fuel Tax Agreement), UCR’S (Unified Carrier Reports), and MCS-150 (Motor Carrier Identification Reports).
